Managing Your Email Notifications

Sweet can optimize your communications so that, as you manage an order through your back-office workflow, email notifications are sent to your customers automatically, with no extra actions required.

However, depending on how you are using Sweet, you may not want certain email notifications to be sent out, or you may not want to include certain attachments or URLs.

If that's you, you can customize your communication settings on two pages:

  1. the Outgoing Communication page under Configurations
  2. the Communication Settings tab on the My Profile page (reachable under your name in the top-right of the window).

Outgoing Communication Settings

Let's go through the Outgoing Communications options first. You will also have the option to edit some email notifications to your liking. Just click on the "edit" link next to each notification labels.

  • Order Approved Notification - Controls whether an Approved notification is sent to your customers.
  • Shipped Notification - TBD
  • Order Review Required Notification - Controls whether an order review required notification is sent to your customers.
  • Cancellation Notification - Controls whether an order cancellation notification is sent to your customers.
  • Invoice Notification - Controls whether an invoice notification is sent to your customers.
  • Order 'Unapproved' Notification - Controls whether an "Unapproved" notification is sent to your customers.
  • Order Started from Standing Order Notification - Controls whether an Order Started from Standing Order notification is sent to your customers.
  • Standing Order Updated Notification - Controls whether a Standing Order Updated notification is sent to your customers.
  • Error Starting Order from Standing Order Notification - Controls whether an Error Starting Order from Standing Order notification is sent to your customers.
  • Error Submitting Order from Standing Order Submitted - Controls whether an Error Submitting Order from Standing Order notification is sent to your customers.
  • CC my company email on outgoing emails to my customers - Controls whether company email address is copied on active email notifications.
  • Send email to <your company name> when no customer emails or mailer is turned off - Controls whether your company email will be used when no customer email exists, or when an email notification is turned off but you still want to have confirmation of approval, shipment, etc.
  • Include website URL in order confirmation, shipment, invoice, and cancellation emails - Controls whether a web URL is included in approval, shipment, and invoice emails.

Communication Settings - My Profile

The My Profile communication options allow you to control whether you receive email notifications at your user email address.

  • Stop all emails - Turning this on disables ALL user email notifications.
  • CC Order confirmation - Controls whether you receive email notification when customer submits an order via the B2B portal.
  • CC Order has been received - Controls whether you receive email notification when customer marks an order received via the B2B portal.
  • CC Order review required - Controls whether you receive an email notification when a customer marks that they've received less than ordered, and therefore potentially requires a credit.
  • CC Order has been finalized - Controls whether you receive an email notification when an order is finalized and in invoice state (either after being shipped or received, depending on your settings).
  • CC Order has been canceled - Controls whether you receive an email notification when an order is cancelled.
  • CC Standing order has been edited - Controls whether you receive an email notification when a standing order is edited.
  • CC Standing order reminder - Controls whether you are cc'ed on a standing order email reminder sent to your customer.
  • CC Error processing standing order - Controls whether you receive an email notification when a standing order is processed.
  • Product has been discontinued - Controls whether you receive an email confirmation when a product has been discontinued by you or a team member.
  • Daily order summary (your daily summary email will be sent one hour after order cutoff time) - Controls whether you receive an emailed daily summary of orders.
